For a city walk, a day tour or a shore excursion from a cruise ship, the question is not who is free but who can lead the group: German, English, Spanish, French – and for a coach tour, with the right licence class too. On top of that come the extra qualifications that matter differently from operator to operator: hiking guide, first aid, glacier or boat experience, regional certification.

Run that from spreadsheets and you spend more time matching qualifications than planning. And the smaller the operation, the heavier that weighs – because the same person schedules, invoices and sells.

Guides apply for planned tours themselves

This is where the workload turns. Instead of matching training records and availability by hand, you publish the planned tour – and the guides put themselves forward. CrewBrain shows the tour only to those who hold the required language and qualification, and you pick from the applications. A chain of phone calls becomes a list.

Language is not a preference, it is a condition

A Spanish-speaking group needs a Spanish-speaking guide. If the language only lives in the scheduler’s head, the gap shows up on the day of the tour.

Without a licence the coach does not move

On coach tours guide, driver and vehicle belong together. The licence class has to match, and the vehicle inspection must not fall due in the middle of high season.

Matching training records by hand costs more than the planning

Who holds which certification, which one is still valid, and who needs retraining for a new route – maintained in a spreadsheet, readable by one person.

The season breathes in peaks

Cruise calls, school holidays, public holidays: twelve tours in parallel one day, two in low season. The pool is mostly freelance guides who work for other operators as well.

What Travel Connect does with it

Travel Connect is a leading travel brand in Iceland and manages more than 300 employees across several travel agencies. The group’s largest company, Iceland Travel, has used CrewBrain since 2024 – initially to improve the utilisation of buses and guides for its Cruise department, the largest cruise service in the country. The Leisure department followed later.

Today more than 400 active users work in the system: around 300 external guides and roughly 100 internal staff, split into six user groups. Three improvements are named in particular: better bus utilisation, better information access for the guides, and cleaner management of ongoing trips. Alongside that, trackability – which project took how many hours – as the basis for decisions that used to be made on instinct.

Multi-day tours, travel days and allowances

A round trip is not a date, it is a sequence of days with different roles. CrewBrain separates working days, travel days and days off and holds them together on the project: the guide travels in, three tour days, travels back. Recurring dates and a copy function take the typing out of a route that runs every season.

What comes up on the road attaches directly to the tour: mileage, overnight stays, meal allowances. The guide records it in the app, you approve it, and it runs into the settlement together with the hours. More on travel expenses

From tour plan to settlement – in four steps

  1. The tour is created with date, language, required qualifications and – where needed – a vehicle.
  2. You publish it to the guides who fit, or staff it directly from the filtered pool.
  3. The guides see their tour in the app, clock in on site and record travel expenses on the move.
  4. The actual hours produce the fee settlement and the reporting per tour, department and cost centre.

Frequently asked questions

Can we schedule by language?

Yes. Languages are held per guide as a qualification and can be attached to a tour as a requirement. Scheduling then only shows guides who hold the language you need.

How exactly does applying for tours work?

You publish a planned tour to the guides who meet the requirements. They see it in the app and register their interest. You staff from the acceptances – matching availability and training records by hand disappears.

Are licences and certificates monitored for expiry?

Yes. Qualifications are held with a validity date and CrewBrain warns before they lapse. Without a valid record a guide cannot be assigned to that tour. Which records you have to keep is decided by your business – CrewBrain monitors the validity.

Does this suit small operators with only a few guides?

That is where the time saved is felt most, because the same person schedules, invoices and sells. Pricing is based on the number of users, so there is no minimum size.

Can coaches and drivers be scheduled too?

Yes. Vehicles are booked like people, with the licence class as a condition and advance warning for inspection dates. The driver’s log is created digitally in the app.

Can CrewBrain connect to our booking system?

Through the open REST API and webhooks. Travel Connect uses them among other things to import projects between systems and to pull data for reporting. More on the interfaces

Do our guides see internal information?

Only what you release. User groups define which fields and areas a group can see – external guides therefore less than internal schedulers.
