Crew Management Software for the Live Event Industry

Rental, project planning, invoicing – and in the middle of it all the people who actually carry the event. CrewBrain is the crew side of your business, cut to the industry you work in every day.

Every industry plans its crew differently

A catering business thinks in events and premiums, a security company in shift patterns and licences, a technical production company in multi-day builds and vehicles, a staffing agency in contracts and supply arrangements. That is why we do not present CrewBrain as a general feature list but for your industry – with the bottlenecks you recognise from your own working week, and the functions that bite exactly there. Pick your area below.

Which industry do you plan for?

All five industry pages follow the same structure: the bottlenecks that come up in day-to-day work, the function that answers each one, the qualifications and records that matter, and – where it counts – the systems CrewBrain connects to. That way you can tell in a few minutes whether CrewBrain fits your business, instead of working through a generic overview.

One foundation, several cuts

What event businesses have in common is the churn on the crew side: changing assignments instead of fixed weekly rosters, a high share of freelancers and casual staff, requests at short notice and seasonal peaks. That is where a spreadsheet costs the most time – and where CrewBrain starts, without asking you to rebuild the processes you have grown into.

Underneath, it is always the same platform. You will find these building blocks on every industry page, only weighted differently:

Built out of practice

CrewBrain was not designed on a drawing board. It grew out of daily work with organisers and service providers, and many of its functions come straight from feedback by businesses facing the questions you face: how do I refill a short-notice absence cleanly? How do I keep freelancers, casual staff and permanent employees in one view? How do recorded hours turn into a correct settlement?

That origin explains why the software sits so close to the way the event industry actually works – and why we keep developing it along new requirements instead of defending a fixed template.

Questions before you start

How much work is it to move off our current solution?

You start with a free trial account and build your crew list – either by hand or by importing a spreadsheet. Existing clients, venues and recurring assignments can follow step by step. Running CrewBrain in parallel with your old planning for a while is no problem.

What does CrewBrain cost?

Pricing is based on the number of active employees, not on feature bundles – every industry uses the same functional scope. The current tiers are listed under plans & pricing.

Does it work for several branches or locations?

Yes. Locations, departments and schedulers can be managed separately and reported on together. Roles and permissions control who sees and edits which areas.

Where is our data held?

CrewBrain is operated in Germany. We provide the data-processing agreements you need so that you can meet your own documentation obligations towards employees and clients.

Can our crew do everything from a phone?

Yes. Through the app your people see their roster, report availability, clock their hours and upload receipts – on the move, without access to an office.

Will it fit our payroll provider?

Settled hours and premiums can be exported and handed to common payroll systems, including in DATEV format. Your accountant or payroll office keeps working with the same figures instead of retyping them.

Do we get help setting it up?

Yes. We take you through a personal introduction at the start and set up premium models, crew categories and interfaces together with you. After that our support is reachable by phone or in writing whenever you have a question – with no surcharge per enquiry.

None of these five industries describes you exactly? The underlying platform is the same either way. A look at the individual features shows what CrewBrain does regardless of industry – from crew scheduling through time recording to payroll. And if you would rather just try it: every function is available free for 30 days, with no payment up front, no credit card and no automatic renewal. If you would prefer to be shown around first, book a no-obligation webinar with one of our experts – live, with room for your own questions.
