How the fields from your system map onto the structures in CrewBrain is defined by an individual mapping. That way you work with your familiar labels, and the requirement lands exactly in the categories that fit your processes.
Most connections are one-way imports: the order data flows from the third-party system into CrewBrain, and crew planning happens here. That is the usual, proven architecture. Three systems go a step further and accept feedback from CrewBrain. Each write-back can be enabled individually and switched off again at any time:
Assigned resources are written back to Current RMS – allocate and deallocate stay in step. More on Current RMS
CrewBrain reports the booking and resource status of your crew, as well as leave and absences, back to easyjob. More on easyjob
The working hours recorded in CrewBrain are written back to easyJOB, ready for further commercial processing.
Via Microsoft Graph you connect Office 365 bidirectionally. CrewBrain dates appear in your staff’s Outlook calendar, and changes flow both ways. CrewBrain respects the sensitivity levels of Microsoft 365: you decide which confidentiality level the transferred appointments carry, so the connection fits cleanly even into environments with strict compliance requirements. For larger organisations this is often the decisive building block for fitting CrewBrain into an existing Microsoft landscape. Leave and absences can be mirrored as well, so both worlds share the same availability.
Vendor-independent, it works via the iCal feed: all dates from CrewBrain can be subscribed to in any calendar software, and conversely you import external calendars into CrewBrain. More on the iCal connection
Your system is not listed, or you run a custom solution? Via our REST API in versions v1 and v2 you access the data in CrewBrain directly and change it. Webhooks inform your systems in real time as soon as something changes in CrewBrain – without you having to poll regularly. Both API versions are fully documented; v2 extends v1 with additional endpoints without breaking existing integrations.
Via the MCP server, AI clients interact directly with CrewBrain, for example to create jobs or customers. This lets you use an AI of your choice – even your own, locally hosted AI instances. Documents from Eventworx, easyjob, Rentman, Current RMS and MouseClick are not copied but retrieved live from the source system. In CrewBrain you therefore always see the current version – there is no once-imported, long-outdated PDF. That is a qualitative difference from a plain file interface: you always work with the version stored in the leading system. Permissions stay in the source system – in CrewBrain you only see what is released there.
No. The calendar connection runs via Microsoft Graph for Office 365 and via iCal feeds for all other calendars. CalDAV is currently not supported.
The connections sync regularly via a cron job in the background. In addition, many systems trigger a prompt sync on changes, so the planning state and the order situation match almost continuously.
If an order is removed in the source system, CrewBrain flags the related bookings on the next sync. Crew already scheduled stays visible, so planned assignments do not disappear unnoticed and you can reassign deliberately.

Yes. You can run several connections in parallel – for example a rental system for the order data and Office 365 for the calendars. Each connection works independently, so you can extend your setup step by step.
